Google Launches New Tool for Seamless Email Migration from Exchange Online to Gmail

Google has introduced a new tool designed to facilitate the migration of emails and calendar events from Microsoft Exchange Online to Gmail, streamlining the process for administrators managing Google Workspace accounts.

To utilize this migration tool, administrators must have access as a Workspace Super Admin on Google's platform, while a Teams Entra Administrator role is required on the Microsoft side. This tool is available for commercial Workspace licenses, including Business, Enterprise, and Education plans.

According to Google, the migration process is straightforward, requiring only a few clicks. Administrators need to first specify and connect the relevant Exchange Online tenant within the Workspace Admin Console. For those looking to transfer data for multiple users simultaneously, a CSV file containing both old and new email addresses can be uploaded. Google provides detailed guidelines in a support article regarding the proper formatting of this CSV file.

Following the tenant connection, administrators can customize various settings for the migration, such as selecting a specific time frame for the emails being transferred, deciding whether to include deleted messages and emails from the spam folder, and determining if the tool should also capture identities not listed in the CSV file. Additionally, the migration service has the capability to transfer calendar data, although this feature is still in beta. Administrators can choose whether to copy calendar information and specify how to handle any secondary calendars.

The tool also offers an option for a delta migration, which means it will only copy emails from Exchange that are not already present in the Workspace account. At present, the tool can manage the migration of data for up to 250 users at once. After the migration process is complete, administrators receive a report detailing the results, including any errors encountered.

This new tool is part of Google's broader data migration service for Workspace. In addition to Exchange Online, it supports the migration of emails from Exchange Server versions 2003, 2007, 2010, 2013, and 2016, as well as from personal Gmail accounts. A generic IMAP option is also available, which requires a bit more manual work from administrators. Google has published relevant information regarding common webmail providers in a support article. Furthermore, the data migration service includes tools for migrating chat messages from Microsoft Teams and files from SharePoint and OneDrive.

In contrast, migrating emails from Google Workspace to Microsoft 365 is a more complex process. Microsoft does provide a comprehensive guide for this transfer; however, it demands significantly more effort from the administrator.
