Microsoft is set to roll out a new bot detection feature for its collaboration platform, Teams, aimed at providing users with increased security and greater control over meeting participants. The update, recently added to the Microsoft 365 roadmap, will enable organizers to clearly identify third-party bots in the virtual meeting lobby before granting them access to sessions.
The forthcoming feature is designed to ensure that only approved bots are allowed into Teams meetings. When an external bot attempts to join, it will be distinctly marked in the meeting lobby, enabling organizers to make informed decisions about whether or not to admit these automated participants. This process is intended to prevent the unintentional inclusion of unauthorized bots, thereby strengthening the security and privacy of meetings conducted on the platform.
Once the feature is available, organizers will be required to manually approve the entry of external bots, reinforcing user control over the meeting environment. This functionality is expected to become available globally starting in May 2026, covering all major operating systems, including Android, iOS, macOS, and Windows. As of now, the feature remains in development, with further details anticipated as its release date approaches.
In addition to the bot detection enhancement, Microsoft Teams will also introduce changes to its meeting recording notification system. Currently, users receive alerts when recorded meetings are nearing their deletion date. However, following customer feedback indicating that such notifications contributed to excessive message volumes with minimal user interaction, Microsoft has decided to discontinue these alerts.
Beginning June 1, 2026, Teams will no longer send notifications about soon-to-expire meeting recordings across all Microsoft 365 tenants. This adjustment is part of Microsoft's broader strategy to reduce notification clutter and improve overall user experience. Administrators will not be required to take any action regarding this change, but they are encouraged to inform users and update documentation as necessary to reflect the new process.
These updates are part of an ongoing effort by Microsoft to enhance the functionality and user-friendliness of Teams. Recent developments have included the introduction of a private chat feature for structured meetings, webinars, and town halls. This allows organizers, co-organizers, and presenters to communicate in a separate channel, independent of the main participant chat, further supporting structured collaboration and efficient information exchange during virtual events.
